HOW TO CREATE A RECURRING TIME BLOCK
TO WORK ON YOUR ACTION FOLDER
Now that you have an Action Folder setup and functioning, the next step is to set aside time to Live In Your
Action Folder.
In this example, we are going to create a one-hour time block every Monday, Wednesday and Friday for ten
weeks, to trigger the habit of managing emails in your Action Folder.
HOW DO I CREATE A RECURRING TIME BLOCK IN MY CALENDAR USING OUTLOOK 2010?
Follow the instructions below to create a recurring time block (calendar appointment).
Note: instructions may differ slightly if using other versions of Microsoft Outlook
In Outlook Calendar left
mouse click on New
Appointment.
An appointment dialog
box will open.
Type ‘Work on Action
Folder’ into the Subject
field and select an
appropriate hour long
period from the Start
time and End time
dropdown menus.
Left mouse click on
Recurrence from the top
menu ribbon and a dialog
box will open with the
title Appointment
Recurrence.
Under Recurrence
pattern tick the radio
button next to weekly and
tick the boxes next to
Monday and Wednesday
(for this example).
Under Range of
occurrence select the
radio box next to End
after and type in 20
occurrences.
Click OK.
Your new appointment
will now look like this.
Click on Save and Close.
Your appointment ‘Work
on Action Folder’ will
now appear in your
calendar on Monday and
Wednesday, repeated
each week for 10 weeks.
Repeat the steps above to
create another recurring
time block for an hour
each Friday, and call this
‘Work on Action
Folder +/- Manage
Waiting & Reading
Folders’
